How to specify packaging machinery before requesting a quotation

A useful machinery comparison begins with a controlled description of the product, pack, process and required output. This guide shows how to prepare that information and how to compare the principal packaging technologies without relying on unsupported headline speeds.

1. Define the product

Describe flow, viscosity, particles, aeration, temperature, dust, chemical compatibility and cleaning. Use a representative production sample rather than a generic product name.

2. Define the pack

Record container, neck, closure, label, film and secondary-pack dimensions. Include material, weight, stability, tolerances and every format that must run.

3. Define the duty

State target output by format, normal batch size, shift pattern, available utilities, floor space, operator involvement and equipment that must connect to the machine.

Select closure and labelling equipment from samples

Capping starts with the matched closure and neck finish. Define torque or functional acceptance, cap presentation and bottle support. Pumps, triggers, ROPP, crowns, T-corks and vacuum closures each need a suitable application and feeding method. Compare the capping machinery range.

Plan wrapping, coding and line integration together

Flow wrapping, shrink wrapping and VFFS use film in different ways. The selected process should match the product presentation, pack protection, seal style and feeding method. Coding needs the exact substrate, print data, area and line speed. Every connected station must share compatible product pitch, conveyor height, controls and fault responses.

Output

Define output as finished acceptable packs under stated conditions. Include product, format, batch length, replenishment and normal changeovers. A reference maximum speed is not a complete acceptance criterion.

Quality

State how fill, torque, label position, code readability or seal integrity will be checked. Use measurable criteria where verified information is available and avoid assumptions where it is not.

Sample-trial and quotation checklist

  1. List every product and pack format, highlighting the smallest, largest and least stable.
  2. Send representative samples in sufficient quantity for setup and repeat testing.
  3. State the required output for each principal format and the normal production run.
  4. Describe cleaning, product change and format change procedures.
  5. Provide utilities, floor plan, conveyor direction and existing-machine interfaces.
  6. Identify coding, inspection, reject and data requirements.
  7. Agree which product, pack and conditions will be used to assess performance.

Buyer questions

Can a quotation be prepared without samples?

A preliminary proposal may be possible from accurate drawings and product data, but samples are normally needed to reduce uncertainty around filling, feeding, capping, labelling, sealing and transfer.

How many formats should be included?

Include every format expected during the project life where known. At minimum, identify the normal format and the mechanical extremes, including the smallest opening, least stable container and most difficult material.

How should output be stated?

State acceptable finished packs per minute or hour for a named product and format, together with normal operating conditions. Separate a short test rate from the sustained production requirement.

What is a change part?

A change part is a component exchanged to suit another format, such as a guide, star wheel, chuck, forming set or nozzle. The required set depends on the machine and pack range.

When should a complete line be considered?

Consider a complete line when several processes must be coordinated, when manual transfer limits output or quality, or when a single controls and layout review will reduce integration risk.
